Guide to setting up shipping in a marketplace

Shipping is crucial for running a Multi-Vendor Marketplace. Its setup, speed, and quality can significantly affect both customer and seller experiences.

Several factors influence shipping decisions, including your Marketplace's maturity, vendors' skills, customer behavior, warehouse locations, and commercial viability.

Here are the key aspects to consider:

1. What shipping methods will you offer customers?

2. How will you calculate and charge shipping fees at checkout?

3. Who will pay for shipping and whose shipper account will create the labels?

4. Will vendors process orders on your dashboard or their backend?

5. How will you handle shipping charges during payouts, considering both customer charges and shipper fees?

At Shipturtle, we offer many customizable workflow options that go beyond standard website platforms like Shopify. Let's explore these questions and the available solutions.

Who This Guide Is For

Marketplace admins setting up shipping for the first time, or revisiting an existing setup that isn't working for their vendor base or customer experience.

Before You Begin

  • Admin access to your Shipturtle account
  • A Shopify plan that supports the features you need (some options require Shopify Advanced or above — noted where relevant)
  • Carrier accounts ready if you plan to use carrier-calculated rates or generate labels on behalf of vendors

The Five Shipping Decisions

Decision 1: What Shipping Methods Will You Offer Customers?

The methods visible to customers at checkout define their experience. There are three main options:

1. Shipping Profiles

Customers choose between surface and air shipping, with rates based on their selection. This is the simplest option to configure.

How to configure: Use Shopify's native Shipping Profile feature. Set flat or weight-based rates for each shipping zone and method.

2. Preferred Carrier Shipping

Customers select a specific carrier like FedEx, UPS, DHL, etc. often used for time-sensitive or high-value parcels where carrier trust matters.

How to configure: Requires the "Carrier calculated shipping rate" or "3rd party live shipping rate" feature. This is available only on advanced Shopify plans and requires a custom app integration. Shipturtle supports this via its carrier integrations (200+ carriers available).

3. Warehouse Pickup

Customers collect orders directly from a warehouse location is typically free. This is the most complex option.

How to configure: Requires custom development. Shopify's pickup settings are configured at the Location level and do not work natively with multi-seller cart baskets. You will need a Split Cart feature and a third-party rate calculator to make this work in a marketplace context. Speak to Shipturtle support before attempting this setup.

Decision 2: How Will You Calculate and Charge Shipping at Checkout?

Customers are more price-sensitive to shipping costs than to product costs — shipping feels like a surcharge, not part of the value. Choosing the right strategy here directly affects conversion rates.

Option A: Include Shipping in Product Price (Free/Flat Shipping)

Customers see a single, simple price. Shipping is baked into the product cost.

How to configure: Use Shopify's Shipping Profile feature. Set a flat rate (or $0) at the zone level. In a marketplace context, use Shipturtle's Marketplace Shipping Profile feature to assign vendor-specific rates within that structure.

Option B: Tiered Shipping Prices

Shipping cost varies based on order value or total weight, for example, free shipping above $75, or $5 for orders under 1kg.

How to configure: Use Shopify's Shipping Profile feature for order-value or weight tiers. For vendor-specific tiers in a marketplace, use the Marketplace Shipping Profile feature in Shipturtle.

Option C: Actual (Live) Shipping Rates

Customers see the real-time rate from a carrier at checkout — the exact cost to ship their order from that vendor's location.

How to configure: Requires "Carrier calculated shipping rate" or "3rd party live shipping rate" — available on advanced Shopify plans with a custom app. This is the most accurate option but also the most complex to set up and maintain.

Decision 3: Who Pays for Shipping and Whose Carrier Account Creates Labels?

This decision affects both your operational costs and how vendors experience order fulfillment. There are two primary arrangements:

Option A: Shipping Paid by the Merchant (Marketplace Pays)

Common for new or early-stage marketplaces working with smaller vendors who don't have established carrier accounts. The marketplace absorbs the shipping cost and generates labels using its own carrier account.

This simplifies the vendor experience but requires the marketplace to manage carrier relationships and reconcile shipping costs at payout time.

Option B: Shipping Paid by Vendors

Vendors use their own carrier accounts to generate labels and bear the shipping cost directly. This is the preferred model for mature marketplaces working with larger vendors — especially vendors who also run their own storefronts.

Shipturtle integrates with 200+ carriers. Vendors can connect their own accounts via the cloud dashboard. For vendors who fulfill through their own website backend, the Vendor Sync feature automatically pulls tracking information into your marketplace without requiring the vendor to log in to Shipturtle separately.

Decision 4: Where Will Vendors Process Orders?

Shipturtle gives vendors two ways to manage and fulfill orders. The right choice depends on your vendors' technical sophistication and whether they run their own websites.

Option A: Shipturtle Cloud Dashboard

Vendors log in to the Shipturtle dashboard to view orders, generate labels, and manage fulfillment. All carrier integrations, commission settings, and label options are accessible here.

Best for: vendors who don't have their own ecommerce backend, or who prefer a single interface for managing marketplace orders.

Option B: Vendor Website Sync

Vendors fulfill orders through their own website backend (e.g., their own Shopify store). Shipturtle automatically syncs tracking information back to your marketplace — no manual entry required.

In this model, it is technically possible for the marketplace to generate labels on the vendor's behalf, but this adds significant complexity and is not recommended. Vendors in this model should generate labels through their own systems.

Best for: established vendors with their own storefronts who already have fulfillment workflows in place.

Decision 5: How Will You Handle Shipping Charges at Payout?

At payout time, the marketplace must account for the difference between what was collected from the customer at checkout and what was actually spent on shipping. There are three standard approaches:

Option A: Transfer Shipping Charges to the Vendor

Used when the vendor is responsible for shipping. The shipping fee collected from the customer is passed through to the vendor as part of their payout.

How to configure: Manage Product Commissions settings in Shipturtle.

Option B: Marketplace Retains the Collected Shipping Charge

Used when the marketplace pays for shipping. The amount collected from the customer for shipping stays with the marketplace to offset the label cost.

How to configure: Manage Product Commissions settings in Shipturtle.

Option C: Charge Vendor for Actual Shipping Cost

Used in cases where the marketplace charges customers little or nothing for shipping (e.g., free shipping campaigns) but still incurs a label cost. The actual carrier cost is deducted from the vendor's payout.

How to configure: This is supported as a custom development in Shipturtle due to its complexity. Contact Shipturtle support to scope this before implementation.

Setup Checklist

Run through this before going live:

  • Decided which shipping methods to offer customers (standard, carrier-calculated, or pickup)
  • Chosen a checkout pricing strategy (flat/free, tiered, or live rates)
  • Determined who pays for shipping (marketplace or vendors) and whose carrier account creates labels
  • Configured vendor order processing preference (Shipturtle dashboard or Vendor Sync)
  • Set up payout handling for shipping charges in Manage Product Commissions
  • Tested checkout to verify shipping rates appear correctly for each zone
  • Confirmed label generation works end-to-end (at least one test order fulfilled and tracked)

FAQs

Can different vendors on the same marketplace use different shipping setups?

Yes. Shipturtle's Marketplace Shipping Profile feature allows vendor-specific shipping rates and zones. Some vendors can use flat rates while others use carrier-calculated rates, depending on your plan and configuration.

Does Shipturtle support split-cart checkout (one cart, multiple vendors, separate shipments)?

Yes, but this requires the Split Cart feature and typically a third-party rate calculator. It adds complexity — especially for warehouse pickup scenarios. Contact Shipturtle support to design the right setup before configuring.

Which Shopify plan do I need for carrier-calculated shipping rates?

Carrier-calculated or third-party live shipping rates require Shopify Advanced (or above), or a custom app integration. Shipturtle can facilitate this via its carrier integrations, but your Shopify plan must support the feature. Check your current plan in Shopify Admin > Settings > Plan.

Can I start with marketplace-paid shipping and migrate to vendor-paid shipping later?

Yes. Many marketplaces start with marketplace-paid shipping to simplify vendor onboarding, then transition to vendor-paid shipping as their vendor base grows and matures. This migration is operationally straightforward in Shipturtle — you update the carrier account settings and commission configuration, then notify vendors.

What happens to shipping charges if a customer returns an order?

Return shipping handling is not covered by this guide. Shipturtle's returns flow has its own configuration. Contact support at team@shipturtle.com for guidance on return shipping logic.

How do I connect my carrier account (FedEx, UPS, DHL, etc.) to Shipturtle?

Navigate to your Shipturtle admin and go to the Shippers section. Shipturtle supports 200+ carriers. You'll need your carrier account number and API credentials. See the dedicated Shippers configuration article for step-by-step setup instructions.

Troubleshooting

Shipping rates aren't showing at checkout

Check three things in order: (1) confirm your Shopify Shipping Profiles are correctly configured for the zones your customers are in; (2) verify carrier-calculated rates are enabled on your Shopify plan if you're using live rates; (3) check that the vendor's products are correctly mapped to the right shipping profile. A product not assigned to any profile will often default to free shipping or no rate.

Vendors are generating labels but tracking isn't appearing in the marketplace

If vendors are using Vendor Sync, confirm the sync is active and authorized in the vendor's Shipturtle settings. If tracking is present on the vendor's end but not syncing, re-authorize the connection. For dashboard-based vendors, ensure they are marking orders as fulfilled inside Shipturtle (not in their own backend).

Shipping charges in payouts don't match what was collected at checkout

Review your Manage Product Commissions configuration and confirm the correct payout option (transfer, retain, or actual cost) is selected for each vendor or product type. Mismatches typically occur when a vendor's commission profile was set up before the shipping payout option was configured.

Warehouse pickup option is showing for multi-vendor carts

Shopify's native pickup feature does not work with mixed-seller carts. You need a Split Cart implementation and a custom rate calculator. This is not a Shipturtle bug, it is a Shopify platform constraint. Contact Shipturtle support to scope the correct solution.
